Duties and responsibilities: Enhances and maintains comprehensive case management and record retention system to support the regulatory and compliance needs of the Office for Equity & Compliance (“OEC”). From report/complaint intake through investigation and administrative resolution (sometimes involving hearings and/or appeals), this position supports the case management and documentation needs of the executive director, assigned investigations, and/or other key stakeholders. Maintains the highest standards of privacy and confidentiality with respect to sensitive student and personnel records. Coordinates the OEC’s response to various document requests (e.g., discovery requests in response to litigation, requests from students/employees, requests in support of insurance or risk management needs), with support and direction from the executive director. Creates and maintains applicable forms, documents, templates, operating procedures, and other internal documentation related to the OEC’s record retention and case management needs. Compiles accurate, reliable data for reporting both externally (e.g., Clery Annual Security Report, Illinois Preventing Sexual Violence in Higher Education Annual Report) and internally (e.g., OEC Annual Report, quarterly reports to leadership). Supports all administrative functions of the OEC, including answering phone, managing office email, receiving walk-in visitors (students and employees), and other duties as assigned.
Qualifications: Bachelor’s degree or equivalent combination of education and experience required. Paralegal Certificate required. At least 2 years experience as a paralegal or other related position in a high-volume, team oriented setting.
Minimum education and/or work experience: 2-3 years experience as a paralegal or similar administrative support professional in a high volume, fast-paced professional environment involving management of sensitive/confidential information.
